This privacy statement explains how we use any personal information about you that we have been provided by either of the following means:

From time to time, you may be asked to submit personal information about yourself (e.g. name and email address) in order to receive or use services on our website. Such services include bulletins/newsletters, information about events, PDF downloads and email updates. We also collect information when you voluntarily complete surveys, sign up for our newsletter and via ‘contact us forms’. You can sign up to receive our updates here.
Health Innovation East Midlands may also collect and process personal, sensitive and/or health related information either for the programmes we support or on behalf of other organisations including NHS Trusts, third parties and trusted partners (including organisations within the Health Network). In particular for patient sensitive data, our standard practice is to have a data sharing (or data processing) agreement in place to ensure all information is managed securely and as the Data Owner requires.
Data will only be used as outlined in the data sharing/data processing agreement and this is always for the purposes of supporting innovation and improving the quality of health and social care. If there is a need for us to process such data, this will be undertaken in full compliance with the Information Governance requirements of our hosting organisation, Nottingham University Hospitals NHS Trust. Any other data received by Health Innovation East Midlands will be managed securely, used only for the purposes of providing the organisation with support and advice and not be shared without the consent of the organisation who has sent the information.
We collect information about you to help us deal with your requests and, if you agree, to email you with news, events and other updates we believe would be of interest to you based on the information you have provided.
By giving us your details you enable Health Innovation East Midlands and our associated projects and programmes to provide you with the services/updates you select. When you subscribe to a newsletter or complete a form you will have the chance to accept / “opt in” to what news you are interested in receiving. You can “opt out” or unsubscribe at any time by contacting us or updating your profile via newsletter or events invites.
Who can access my information?
Only those part of the Health Innovation East Midlands or in some circumstances information about an innovation may be shared with other Health Innovation Networks. This will be explicit at the point when the information is asked. Your information will not be shared with anyone else, unless there is a clear legal basis for doing so as defined in the UK General Data Protection Regulation and Data Protection Act 2018.
How long is my information held for?
Your records are kept in accordance with the UK General Data Protection Regulation and Data Protection Act 2018.
E-newsletter
We use a third party provider, Mailchimp to deliver our e-newsletters. We gather statistics around email opening and clicks using industry standard technologies including clear gifs to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice.
Events
We may use a third party provider, such as Eventbrite to manage some of our events. We may need to obtain Personal Identifiable Information (PII) to help us to organise our events. For more information see Eventbrite’s privacy policy.
In line with our Public and patient leadership agenda and for our events, we may ask for sensitive personal data such as race, ethnicity or sexuality. This is to ensure that our services are inclusive and fairly represented.
Surveys
May use Microsoft Forms to conduct and manage survey responses on our work or events. We may need to obtain Personal Identifiable Information (PII) in order to do this. Zoho
We use Zoho CRM across the organisation to manage and keep track of stakeholder relationships. We also use this platform to share updates on our programmes of work with key stakeholders.

Any information you provide to Health Innovation East Midlands will only be used by us and our associated projects and programmes. Your details will not be disclosed unless we are obliged or permitted to by law to do so.
If you post or send offensive, inappropriate or objectionable content anywhere on www.healthinnovation-em.org.uk or otherwise engage in any disruptive behaviour on www.healthinnovation-em.org.uk, we may use whatever information is available to us, about you, to stop such behaviour. We will hold your personal information on our systems for as long as you use the service you have requested, and remove it in the event that the purpose has been met or when you no longer wish to continue your subscription.
Web forms
You may supply information about you by filling in forms on our website. This includes information you provide when you submit a company engagement form. The information you give us may include your name, email address, address, and phone number. We will only use your information for the intended purposes for which it was collected.
You can request a copy of the details we hold about you at any time. Please email us at healthinnovation-em@nottingham.ac.uk to obtain these or to update us on any changes you’d like to make.
Under the Data Protection Act, we have a legal duty to protect any information we collect from you. We use leading technologies and encryption software to safeguard your data and keep strict security standards to prevent any unauthorised access to it.
We do not pass on your details to any third party or other government departments.
